Team collaboration

  • Updated

When several people work on the same site, Ecobot Manager helps you see who has which survey and bring everyone's data together into one deliverable. This article covers finding your team's surveys, combining them with Transfer and Merge, and who can do what.

See your team's surveys

Anyone in your organization can view any teammate's surveys in Manager, whatever their role.

  1. On the Surveys page in Manager, choose Organization surveys under Showing.
  2. Type in the search box to narrow the list. You can search by survey name, form, owner or internal ID.
  3. Check the Owner column to see who each survey belongs to. Hover over an owner's picture to see their name. The line under a survey's name shows who has it checked out, and where.

In this example, a search for one site finds two surveys owned by different people. From here a survey lead can see who has which data, decide who will own the final survey, and transfer or merge the surveys before reporting.

See one teammate's surveys

To see only one person's surveys, choose their name under Showing. You can also select an owner's picture in the Owner column. Their list has its own Active and Archived tabs.

Anyone can view a teammate's surveys this way. Only Admins and Managers can transfer or merge them. See Who can transfer and merge.

Tip: agree on a naming pattern for surveys, such as the site name followed by the area or team. Consistent names make surveys much easier to find across a large team.

Combine surveys from several people

When several people collect data for the same site, Transfer and Merge bring it together into one survey and one report.

  • Transfer changes who owns a survey. Use it to send finished surveys to a survey lead, to move surveys to one person for QA/QC, or to gather surveys before merging.
  • Merge combines several surveys into one, with all their points, form data and photos, so you can deliver a single PDF. Use it when field staff collected data separately but the site needs one report.

For step-by-step instructions, see Transfer and merge surveys.

Who can transfer and merge

Everyone can view every survey in the organization, but only Admins and Managers can manage other people's surveys. They can:

  • Transfer anyone's surveys to themselves or to another user.
  • Merge surveys owned by anyone.

That makes them the right people to oversee surveys, prepare final reports and sort out ownership problems.

Users can:

  • Transfer their own surveys to another user.
  • Merge only surveys they own.

To combine surveys a user doesn't own, an Admin or Manager handles the transfer or merge. For more on roles, see Manage users.

Good habits for team surveys

  • Decide early who will own the final merged survey.
  • Use consistent survey names, so they're easy to search for.
  • Transfer surveys as field work finishes, rather than all at the end.
  • Have an Admin or Manager oversee merging for large or complex surveys.
