This article explains how teams can collaborate efficiently in Ecobot by viewing survey ownership, coordinating work across multiple users, and combining survey data into complete deliverables. It covers:

Viewing and Managing Surveys Across the Team

Using the Top-Right Dropdown

In the Ecobot web app, the dropdown in the top-right corner allows you to quickly locate surveys across your organization.

From this dropdown, you can:

  • Click "Company surveys" then view
  • Use the search bar at the top to search for a survey name that multiple users have
  • Filter surveys by user to see who currently owns each survey
  • Quickly navigate between active surveys without leaving your dashboard

This makes it easy for project leads and administrators to understand:

  • Who is collecting which data
  • Where surveys are located before reporting or review
  • Which surveys may need to be transferred or merged

Tip: Using consistent survey naming conventions makes searching and collaboration much easier across large teams.

Combining Surveys with Transfer and Merge

For projects that require multiple surveys to be delivered as a single PDF or report, Ecobot provides Transfer and Merge tools.

Transfer Surveys

Transferring a survey changes its ownership.

Common use cases include:

  • Sending completed surveys to a project manager
  • Moving surveys to a single user for final QA/QC
  • Consolidating surveys before merging

Merge Surveys

Merging surveys allows you to combine multiple surveys into one complete survey, including:

  • All form data
  • Sampling points
  • Photos
  • A single combined PDF for reporting

This is especially useful when:

  • Multiple field staff collect data separately
  • Surveys need to be delivered as one report
  • A single user is responsible for final submission

Permissions: Who Can Transfer and Merge Surveys

Admins and Managers

Admins and Managers have full visibility and control across the organization. They can:

  • Transfer any user’s surveys to themselves or another user
  • Merge surveys owned by any user
  • Manage survey ownership to support team workflows

This makes Admins and Managers ideal for:

  • Project oversight
  • Final report preparation
  • Resolving ownership or access issues

Standard Users

Standard users have more limited permissions. They can:

  • Transfer their own surveys to themselves or another user
  • Merge only surveys they own

Users cannot transfer or merge surveys owned by other users unless an Admin or Manager transfers ownership first. Review this article on user management and permissions.

Note: If a user needs help combining surveys they do not own, an Admin or Manager should handle the transfer or merge.


Best Practices for Team Collaboration

  • Decide early who will own the final merged survey
  • Use consistent survey names so they are easy to search
  • Transfer surveys regularly to avoid last-minute consolidation
  • Have Admins or Managers oversee merging for large or complex projects
